Description
The office assistant is responsible for overseeing clerical tasks, maintaining files, welcoming visitors, answering phone calls and emails, and ensuring that the office runs smoothly.
Responsibilities
- Greet and assist visitors, including signing vendors in and out, answering phone calls and relaying messages.
- Assist with work order submission and login issues.
- Oversee key requests.
- Manage vehicles including registration renewals.
- Submit invoices to accounting.
- Scan and file documents.
- Manage COI and W-9 documents, inspections documentation, and uniform orders.
- Keep calendars and website updated.
- Help with projects and other tasks as assigned.
Qualifications
- Ability to meet and deal tactfully and congenially with associates, vendors, and the general public.
- Proficiency in Microsoft Office Suite (Excel, Word, etc.), Adobe Pro.
- Ability to scan, organize and file documents.
- Must have excellent oral and written communication skills.
- Ability to learn additional software programs such as Asset Essentials, J1, SimpleK, Asset Tiger, Swipe On.
- Must be organized, punctual and self-starter.
- Flexible, able to multi-task.
- Minimum of high school diploma.
- Two or more years of office experience required.
